Tiverton Reunion over-budget by $11,500

Last year's Tiverton Reunion was a great party but the final figures show a shortfall of about $11,500.

In committee-of-the-whole Wednesday night (Aug. 5), Kincardine council heard that the event was successful and was great for the community. However, there were three areas where the committee could not cover the expenses.

The first was purchasing separate insurance. The committee believed the municipality was covering that cost which is why the reunion volunteers became a committee of council.

Subsequently, it was suggested that separate event insurance be purchased specifically for the reunion so the reunion's claims history would not impact the municipality's history and possibly lead to a negative impact on future premiums. Cost of the insurance was $5,702.40.

Secondly, there are a number of boxes of compostable glasses that had been opened and could not be returned but are available for other committees of the municipality to use at their functions. They are valued at about $1,000.

And finally, committee members believed there would be no charge for use of municipal facilities, although council never formally indicated this. The Whitney Crawford Community Centre is managed by the Tiverton Lions through an agreement with the municipality. 

Therefore, the reunion was charged for the use of this facility, which is consistent with the Lions practice for other municipal events, such as Winterfest. A total of $2,270 was paid in rental fees to community centre.

That total shortfall comes to $8,972.

The reunion's final figures indicate that expenditures were down by about $30,000 - $216,167.35 (budgeted $244,000), but revenue was down by about $40,000 - $184,705.23 (budgeted $224,000), leaving the shortfall of $11,462.12.

 

Councillor Randy Roppel who chaired the ad hoc reunion committee said if it weren't for those three extra, unexpected expenses that added almost $9,000 to the cost, the reunion might have broken even.

He congratulated the reunion committee for its hard work and dedication, and thanked all the volunteers and the municipal staff and council for their support of the event.

The actual cost of the Tiverton Reunion was a lot more than the shortfall of $11,500, given that the committee received $50,000 from the municipality to run the event. Of that, $30,000 was a loan which was to be repaid to the municipality.

The Tiverton Reunion committee was also going to donate any extra money, over and above these expenses, to Tiverton Minor Sports, the Inverhuron Bike Park, and Special Olympics.

By comparison, after all expenses were paid, the 2008 Kincardine Reunion committee was able to donate about $50,000 to community projects, including $500 to the Sunset Quilters Guild, $500 to St. John Ambulance, $1,000 to Chalmers Congregational Church, $1,000 to Kincardine Minor Sports, $5,000 to the Kincardine Legion, $7,500 to Kincardine Big Brothers and Big Sisters, $7,000 to the Walker House, $7,000 to the Pavilion, and $8,000 for a mural on the side of the Stedmans building.
